Set up requirements for tools access and data visibility
Factors impacting access and data visibility
There are mainly three factors that can impact tools access and data visibility.

1. ETM Role Assignments,

i.e., the combination of a User Role and a Territory Assignment

  • Impact on data visibility on SFDC, Cognos, IBM Planning Analytics (TM1), Tableau, and order notifications

2. iLists,

i.e., lists management allowing targeted visibility to specific group of people

  • Impact on Tableau Dashboards accessibility

3. QuickBase App,

i.e., 'Europe Territory Management'

  • Impact on process flows, such as quote approvals

User role assignment requests should primarily be used to add new users to the ETM or extend permissions (for cover or preparation for a role change). This type of request consists of a User Role and a Territory Assignment. This impacts what is visible and editable in SFDC and Incent (a sales tool for commissions), visible in Cognos, visible in Tableau and whether or not forecasting permissions are granted for IBM Planning Analytics (formerly known as TM1).

Direct roles give forecasting access, while indirect roles do not give forecasting access (click here to find out which are the direct and the indirect roles). Moreover, users assigned to a territory would have access to the accounts in the territory in relation to the objects listed below:

Contact Read/Write Read/Write
Case Read Only Read Only
Opportunity Read/Write* Private (can only view the ones they own)

* If the owner of the UC in an opportunity is not the owner of the sold-to as well or the owner of the opportunity itself, then he can only view the opportunity and he does not have any edit rights.

The Europe Territory Management app is used to create a mirror for the TM that can be used in the logic of other QB apps especially for approval routing. An overview of the cross-app relationships is provided below:

App Name Description
EMEA Contracts App Allows tender team to manage their desks and track tender progress & results.
Europe Capital Support Management System An app used to create, track, and manage instrument rentals, reagent rentals, sales loaners, and sales demos.
EMEA Territory Planner Allows the Sales team to build both a territory plan and account plans. This tool used to be required, and now DCP covers the account plan part. Some DSMs & TAMs are still utilising this for the territoy plan, and for onboarding new team members.
Europe Quote Team App Captures data on quote team production, gives insight into team gaining share of quoting work over time.
2020 EMEA Standing Discounts Aids in the efficient review of standing agreements annually
Account Tier Management Europe An app used to create and track instrument stagings
Instrument Staging Request An app used by Sales Ops and Inside Sales for ad hoc tier change requests
Europe Order Movements App used by Customer Care to send notifications to Sales

The Europe Territory Management app needs to be adjusted when a Territory Hierarchy is changed (during the roll-over at the end of each quarter) and when there is a change/ removal/ addition of one of the following roles:

  • ISAM – Inside Sales Account Manager
  • TAM – Territory Account Manager
  • DSM – District Sales Manager
  • SRM -  Sales Regional Manager
  • SD – Sales Director
  • GM – General Manager
  • CCO – Chief Commercial Officer
  • Sales Specialists
  • Inside Sales Manager
